Job Description

JOB RESPONSIBILITIES

Gallery and Director Assistant

A Gallery and Director Assistant plays a vital role in the day-to-day operations of an art gallery and provides support to the gallery director. In this role, strong sales acumen and customer service skills are essential for effectively facilitating art sales and building relationships with collectors and buyers. Attention to detail and excellent communication skills are also important for maintaining accurate sales records and providing exceptional support to clients.

 

  • Exhibition Management: Assisting with the preparation, installation, and deinstallation of exhibitions, as well as organizing and cataloging artworks.
  • Visitor Engagement: Welcoming and guiding visitors, providing information about artworks and exhibitions.
  • Documentation and Recordkeeping: Maintaining records of exhibitions, including artwork lists, exhibition schedules, and related documentation.
  • Plays a key role in managing sales transactions, including processing payments and preparing invoices.
  • Works closely with buyers to facilitate smooth transactions and provide information about artworks.
  • Handles the sale and shipping of artworks, ensuring that pieces are delivered safely and on time.
  • Marketing and Promotion: Creating promotional materials for exhibitions, managing social media, and engaging with the community to promote the gallery’s events.
  • Schedule Management: Assisting with the director’s schedule, including organizing meetings and appointments.
  • Communication Support: Managing emails, phone calls, and other communications on behalf of the director.
  • Documentation: Preparing and organizing documents, including meeting notes and reports, as required by the director.
  • Project Management: Assisting with gallery projects as directed by the director, coordinating with staff and external stakeholders as needed.
  • Liaison and Coordination: Acting as a liaison between the director and other staff members or external contacts.

 

JOB REQUIREMENTS

  • Bachelor Degree or Diploma with at least 5 years of relevant working experience in the Arts industry
  • Proficiency in Mandarin is required. Additional languages proficiency will be a value add.
  • Experience handling, installing, and designing packing solutions for large or complicated artworks such as heavy sculptures, installation art, oversized paintings as well as audio-visual and new media works of art
