Job Description
The Hospitality Manager is a key member of the Guest Services team, responsible for delivering an exceptional hospitality experience to all invited guests of the Singapore International Film Festival. This role oversees the full spectrum of guest services, including travel, accommodations, accreditation, and personalized support. It also plays a critical leadership role in managing the hospitality budget and post-festival reporting. The ideal candidate is detail-oriented, adaptable, and thrives in a fast-paced, guest-facing environment.

Job Scope
Guest Communication & Experience
- Draft and distribute the official festival welcome note and digital welcome package.
- Serve as the primary point of contact for all festival guests, responding to inquiries and collecting necessary information and requirements.
- Create and maintain a comprehensive guest list, tracking logistics such as dietary restrictions, accessibility needs, and travel details.
- Develop and deliver individual itineraries tailored to each guest’s schedule and needs.
Travel & Accommodation Management
- Liaise with travel agencies to obtain competitive flight quotations and coordinate bookings.
- Arrange all guest travel logistics, ensuring clear communication and support throughout the journey.
- Assign hotel rooms and coordinate with hotel partners to create and manage detailed rooming lists.
- Act as the main liaison with hotel contacts for booking confirmations, rooming adjustments, and special requests.
Accreditation & Documentation
- Oversee the guest accreditation process, including data collection, printing, and distribution of festival passes.
- Manage VISA support for international guests, providing documentation and ensuring deadlines are met.
Ground Transportation Coordination
- Work closely with the Transport Coordinator to ensure timely and seamless airport transfers and local transportation.
- Share guest schedules and real-time updates with transport and operations teams.
Team Leadership & Internal Coordination
- Supervise event management interns or temporary staff, delegating tasks and maintaining quality of guest service.
- Lead regular team check-ins and ensure team readiness throughout the festival period.
- Supervise and lead the Hospitality Department’s After Action Report (AAR) and post-festival debrief sessions to evaluate performance, document lessons learned, and propose improvements for future editions.
Budget Oversight
- Manage the hospitality budget, including tracking expenses related to travel, accommodations, welcome materials, and guest services.
- Provide regular budget updates and cost projections to festival leadership.
Skills & Qualifications
- Prior experience in hospitality, event coordination, or festival operations is essential.
- Demonstrated ability to manage budgets and track financials accurately.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to manage multiple timelines and priorities.
- Familiarity with tools such as Google Sheets, Excel, Eventival, Airtable, or similar platforms.
- Discretion and professionalism when interacting with VIPs and international guests.
- Flexibility to work evenings and weekends, especially during the festival period.
