Job Description

The Secretariat for the Art Galleries Association of Singapore plays a key business developmental, administrative and operational role, ensuring the smooth functioning of the association’s activities. This individual will oversee the day-to-day operations, facilitate communication, and support both strategic initiatives and cultural promotion. The role requires a dynamic, detail-oriented individual with strong organisational and interpersonal skills, able to juggle various responsibilities that support the association’s mission.

 

Administrative Support

  • Manage daily operations, correspondence, record-keeping, meeting coordination, and document preparation. Maintain the website and all 60 member profiles, and work with external developers for updates and upgrades.

Coordination and Liaison

  • Act as the main point of contact for members, committees, and external stakeholders, ensuring timely communication and follow-up on key matters.

Event Management

  • Organize and manage events, including Singapore Gallery Month, conferences, workshops, and exhibitions. Oversee logistics, vendor coordination, and partnerships with galleries and collaborators.

Governance and Compliance

  • Prepare materials for committee meetings and annual reports. Ensure compliance with bylaws, legal requirements, and governance best practices.

Membership Management

  • Oversee member recruitment, renewals, and engagement. Address member queries, maintain accurate records, and track engagement metrics.

Financial Management

  • Assist with budgeting, payment processing, and financial reporting. Work with the Treasurer to monitor expenditures and revenue.

Strategic Initiatives

  • Collaborate with the committee to execute strategic projects, ensuring alignment with the association’s goals and tracking progress.

Partnership Development

  • Cultivate partnerships with cultural institutions, sponsors, and key stakeholders to expand the association’s reach and support member galleries.

Public Relations and Communications

  • Manage and create newsletters, press releases, social media posts, and public relations to enhance visibility and engagement with the arts community.

Qualifications

  • Strong experience in administration, event management, and project management in a related field.
  • Exceptional organizational and communication skills, with the ability to manage multiple priorities.
  • Strong skills in Adobe Creative Suite and MS Office.
  • Excellent written and verbal communication skills.
  • Experience in managing finances, including budgeting and reporting.
  • Ability to build and maintain strategic partnerships with external organizations.
  • Knowledge of the arts and cultural sector, particularly galleries, is preferred.
  • A proactive, detail-oriented individual capable of working both independently and collaboratively.
