Job Description

The Education & Admin Executive will play a crucial role in executing DECK’s outreach programmes and providing essential administrative support to ensure smooth interactions with key stakeholders, including school groups, students, event partners, and more. You will be responsible for planning and coordinating education and outreach activities that promote DECK’s initiatives while managing day-to-day administrative tasks to support the organisation’s operational efficiency.

Key Responsibilities 

1. Outreach Programme Planning & Execution:
Plan and coordinate outreach initiatives to engage local schools, student groups, educational institutions, and community organisations, introducing them to DECK’s exhibitions, programmes, and art-related activities.
Develop and execute targeted outreach strategies to build relationships with key stakeholders, ensuring DECK’s art programmes are accessible and impactful for students and schools,
Organise and support outreach events, such as guided tours, workshops, school visits, and student art initiatives.

Identify opportunities for collaboration with schools, universities, and community organisations to expand DECK’s reach and engagement with new audiences.
Act as the primary point of contact for outreach participants, handling inquiries and providing information about DECK’s activities and opportunities.

2. Administrative Support
Provide administrative assistance with scheduling, correspondence, and documentation related to outreach initiatives.
Maintain an organised database of contacts, programme participants, and event partners.
Assist with the preparation of materials and resources for outreach programmes, such as promotional materials, presentations, and event logistics.

Help manage event registrations and confirmations for school groups, students, and other stakeholders attending DECK’s programmes and events.
Ensure smooth communication and coordination with internal teams, stakeholders, and external partners involved in outreach activities.

3. Stakeholder Relationship Management
Build and maintain strong relationships with key stakeholders, including schools, teachers, event partners, and other community organisations.
Regularly follow up with event partners, schools, and institutions to gather feedback on outreach programmes and improve future engagements.
Assist in coordinating visits and engagement activities for partners, schools, and students to deepen their connection with DECK.
Support the communication of DECK’s mission and programmes to the outreach community through newsletters, email campaigns, and informational sessions.
4. Event Logistics & Coordination
Assist in the logistical coordination of outreach events, ensuring that all materials, resources, equipment and staffing are in place.Support the onsite execution of events by assisting with registrations, guiding participants, and ensuring smooth event flow.
5. Reporting & Evaluation
Maintain records of outreach activities and track the impact of outreach programmes, such as participation rates, feedback, and engagement.
Assist in creating reports and presentations on the success and outcomes of outreach programmes to share with DECK’s leadership team and stakeholders.
Provide feedback and recommendations based on insights gathered during outreach activities to improve future initiatives.

Requirements

  • Skills in photography (film and digital photography) and film making and editing software.
  • Strong communication and interpersonal skills, with the ability to engage effectively with students, teachers, event partners, and other stakeholders.
  • Excellent organisational skills, with the ability to manage multiple tasks, timelines, and resources efficiently.
  • A proactive and flexible approach to problem-solving, with the ability to work independently and as part of a team.
  • Passion for the arts and a strong interest in educational and community outreach initiatives.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint). image and film editing softwares.
  • Ability to handle administrative tasks with attention to detail and accuracy.
  • Fluency in English is required; knowledge of other languages is a plus.

Desirable:

  • MOE certification as instructor
  • Experience in arts education, community outreach, or event coordination.
  • Familiarity with the local education sector and youth-focused initiatives.
  • Experience with social media management and content creation.
