DESCRIPTION

Your role as an executive assistant will require you to play a key role in supporting and empowering our senior leadership. You will be a proactive problem solver with experience working in an office environment, performing administrative duties, and providing support to managers. Attention to detail is a must. The role’s duties and responsibilities enclosed within are not an exhaustive list and are subject to change and your manager may ask you to assist with other tasks from time to time. You will work closely and report to the CEO and COO, who will rely on your flexibility and consistency as well as your ability to maintain confidentiality of high-level systems and operations.

Responsibilities (including, but not limited to):

– Support the Chief Executive Officer and Chief Operating Officer as directed to ensure that company goals and objectives are accomplished and that operations are running efficiently.

– Manage professional scheduling and calendar management for CEO and COO including agendas, email, mail, phone calls, client management, and other company logistics.

– Provide administrative and office support, including spreadsheets, filing systems, and contact databases.

– Maintain professionalism and strict confidentiality with all materials.

– Organise team communications and plan events, both internal and off-site.

– Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals.

– Maintain and refine internal processes that support senior executives, and coordinate internal and external resources to expedite workflow.

– Manage communication with employees by liaising with internal and external executives on various projects and tasks.

– Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.

– Assist in ideating and implementing campaign strategies and timeline, ensuring seamless execution and delivery.

– Assist in preparing and presenting decks and campaign reports and insights to stakeholders, highlighting key findings and recommendations.

Requirements:

– Bachelor’s degree in Marketing, Public Relations, or proven relevant work experience in an administrative role reporting directly to upper management.

– Exceptional ability to thrive under tight deadlines and effectively manage multiple projects simultaneously.

– Proficient knowledge of the entertainment industry landscape, consistently staying ahead of industry trends and advancements.

– Excellent communication, collaboration, and project management skills, with a keen eye for detail.

– Demonstrated ability to work both independently and collaboratively within a team
environment.

– Proficiency with office productivity tools and an aptitude for learning new software and systems.

– Flexible team player, willing to adapt to changes and unafraid of challenges.

– Strong ethics, with an ability to maintain confidentiality of information related to the company and its employees.
