Role Purpose
The Project Coordinator supports the Events and KOL team in the coordination and delivery of events, activations, and influencer campaigns. This role focuses on administrative support, task coordination, and on-ground assistance to ensure projects run smoothly.
The role is suited for individuals who are organised, detail-oriented, and eager to learn how agency projects are executed, with clear guidance and support from Project Executives and Project Managers.
Key Responsibilities:
Project Coordination and Support
- Support Project Executives and Project Managers with day-to-day sourcing & coordination tasks across events and KOL campaigns.
- Assist in preparing project timelines, run-downs, task lists, and trackers using provided templates.
- Track task progress and update internal documents accurately.
- Follow up on outstanding actions and confirmations as instructed.
Administrative and Documentation Support
- Prepare basic documents such as contact lists, schedules, briefing notes, and logistics summaries.
- Maintain organised project folders, files, and trackers to ensure information is up to date and accessible.
- Support documentation for vendors, influencers, and internal teams.
Vendor and Influencer Coordination Support
- Assist in liaising with vendors and influencers for confirmations, schedules, and deliverables under guidance.
- Track influencer deliverables, content submissions, and disclosures using provided tools.
- Support basic coordination tasks without owning negotiations or decisions.
On-site and Operational Support
- Support on-site event setup, registration, coordination, and teardown as required.
- Assist with logistics, materials preparation, and on-ground coordination under supervision.
- Follow run-downs and instructions to ensure smooth on-site execution.
Communication and Team Support
- Communicate clearly and professionally with internal team members and external partners when instructed.
- Escalate issues, delays, or uncertainties promptly to seniors.
- Support a collaborative and positive team environment.
Key Requirements Must-Have
- Ideally 0–1 year of experience in events, marketing, project coordination, or a related field, including relevant internship experience. Fresh graduates will be considered with relevant qualifications or skills.
- Strong organisational skills with high attention to detail.
- Willingness to learn, take guidance, and follow established processes.
- Clear written and verbal communication skills.
- Ability to manage time effectively, prioritise tasks, and meet deadlines.
- Prepared to support on-site events and activations, including working on weekends when required, with appropriate planning and notice.
Nice-to-Have
- Exposure to events, influencer marketing, or agency environments.
- Basic familiarity with spreadsheets, project tools, or content trackers.
