Job Description

Roles & Responsibilities:

Admin & Office Support:

  • Provide daily office administration and coordination across departments
  • Manage office tasks, including filing, reports, and presentations
  • Handle incoming calls, weekly mail collection, and scheduling of appointments and meetings
  • Maintain HR processes and systems
  • Oversee general office operations, facilities, assets, and office policies
  • Ensure pantry and office supplies are adequately stocked
  • Perform ad hoc administrative duties as required

Internal & Client Accounts Servicing Support:

  • Handle day-to-day accounting operations, including invoicing, purchase orders, delivery orders and monthly payables
  • Liaise with vendors and customers to resolve financial inquiries and process payments
  • Assist with data entry and ensure accuracy in accounting records
  • Perform weekly bank reconciliations for month-end and year-end closing
  • Maintain company secretarial records in compliance with regulatory requirements

Project Support:

  • Coordinate with print suppliers, vendors, and logistics providers
  • Set up and update tracking sheets for campaigns and programs
  • Assist in executing marketing activities, including printing, production, packaging, and event collateral delivery
  • Ensure completeness of delivery orders and follow up as needed
  • Support ad hoc projects as required

Requirements:

  • Excellent command of English, both written and spoken
  • Minimum 1-2 years of relevant work experience
  • Proficient in QuickBooks Online, Microsoft Word and Excel, and client invoicing platforms including Ariba and Coupa.
  • Meticulous with strong attention to detail, accuracy, and deadlines
  • Able to perform under tight time constraints and multitask effectively
  • Proactive, self-motivated, and able to work independently
  • Courteous, confident, and collaborative
  • Available to start immediately or within a short notice period
  • Singaporean or Permanent Resident only
