Job Description

Working with a small team of dynamic individuals, the Associate Specialist will assist in executing private events, including weddings, anniversaries, and private parties.

 

Responsibilities:

  • Provide key support to the team by planning, preparing and coordinating meetings with clients and/or vendors, recording discussions and following up after the meeting
  • Brainstorming with the team to develop creative concepts and design based on the brief from the clients
  • Review proposals and contracts on behalf of clients
  • Negotiate quotations and manage budget on behalf of clients, as well as internal costings for each event
  • Assist the team with the execution of private events from start to finish
  • Update and manage the checklist and timeline for each event, and provide reminders for upcoming tasks for all parties involved
  • Assist with guest list management
  • Provide support during events
  • Keep up to date, research new trends and styles for private events
  • Create and maintain accurate and up-to-date records and files for all event management projects, and ensure that all budgets, proposals, guest lists, event photos and contracts are properly filed
  • Ensure information such as business contacts and vendor lists is updated
  • Maintain vendor relations and serve as a point of contact for all selected vendors for each event

 

Requirements:

  • Diploma or Degree in Business Studies, Event Management, Marketing, Mass Communications, Creative/Design or related field
  • Minimum 1-2 years of relevant experience in Event Management or in a Creative/Design field
  • An existing network of contacts in design, production and Audiovisual will be an advantage
  • High level of organisational and time management skills with the ability to multi-task, prioritise tasks and meet deadlines
  • Passion for events
  • Meticulous with strong attention to details
  • Good written and verbal communication skills
  • Positive attitude, resourceful nature and excellent problem-solving capabilities
  • A team player with strong interpersonal skills is proactive and able to work independently
  • Some night and weekend work is required
  • Proficient in all Microsoft Office applications
