Role Overview
We are looking for a Project Administrator to support our artistic productions and events while ensuring smooth and organized operations behind the scenes. This role is ideal for someone who is detail-oriented, highly organized, and enjoys working with data, logistics, and structured processes. Candidates with backgrounds in administration, finance, or structured project management who have a passion for the performing arts are encouraged to apply.
Key Responsibilities
- Assist the Creative Projects Manager in coordinating creative projects, productions, and events.
- Track, manage, and organize participant entries, data collection, and event registrations with accuracy.
- Handle costume, prop, and production inventory to ensure all elements are accounted for.
- Maintain detailed records, spreadsheets, and documentation related to events and productions.
- Support promotional efforts through social media and marketing materials.
- Ensure budgets and expense tracking are well-managed, working closely with vendors and internal teams.
- Adapt to varying schedules based on project and event requirements.
About You
- Highly detail-oriented and meticulous, with strong organizational skills.
- Proficient in Excel, data entry, and record-keeping for managing large participant groups.
- Background in finance, administration, or structured operations is a plus.
- An interest in the arts, dance, or creative productions is welcome but not required.
- Able to multitask and prioritize in a fast-paced environment.
- Flexible, independent, and a problem solver.
- Comfortable with physical tasks related to props and event setup.
- Strong communication skills and ability to work with different teams.

Working Hours:
- 5-day work week, Monday to Friday, 10am to 7pm
- Occasional weekend work for events, with time off provided in lieu.
