Job Description

We’re looking for a proactive, resourceful, and quietly magical human to be the founder’s right hand — someone who spots and busts operational “ghosts” before they haunt our workflow and operations.

You’ll provide personal assistant support while ensuring the seamless running of our digital mail service.

🕵️‍♀️ Ghost Busting for the Founder (Be extroverted and firm)

+ Handle assigned missions with confidence.
+ Take care of emails or follow ups, reminders. (remote) and tasks that  mysteriously pile up.
+ Troubleshoot “invisible” bottlenecks in calendar, comms, or to-dos
+ Act as a sanity buffer during hectic moments
+ Secret missions (on-site) missions to discuss and enforce operations.
+ Speak to clients and suppliers (Be the outspoken voice)
+ PA and life concierge tasks.

📬 Digital Mail Service Operations (Myposte)

+ Jump in to handle digital mail operations as a backup. Including letter collections, scanning of letters and processing as well as post office runs. (on-location)
+ Respond to customers enquiries or work customer service at times (Remote)
+ Get physical – might involve fixing some signs logos and physical structuring of our processing centre.

🗂️ General Admin & Support
+ Light research, document prep, client correspondence
+ Manage simple systems updates or SOP documentation
+ Could involve web tasks and process automations if you have the skills.
+ Spot where we can improve — and help fix it

Note:

This isn’t a role for the shy or quietly-in-the-background type. It requires proactive energy, confidence, and the ability to tackle tasks head-on — especially when procrastination tries to sneak in. You should feel comfortable (or at least eager to learn) how to communicate directly with clients or suppliers, suggest improvements, and take initiative to resolve small fires before they spread. Think of this as a trusted high-level assistant to the founder — someone we can confidently “parachute in” to have a quick, constructive conversation and get things moving again. It’s not scary, but it does call for someone who can switch between low-key admin and high-polish professionalism when needed.

Initially it will be part time based via time tracking. After working together for a while we will track the involvement and see if we can assign a regular budget of hours for you to do. We can also pay-out the fees weekly.

📍Our location is near Raffles City/City hall – it would be ideal if you live, study or work flexibly near there to make it easier to be called to action if required for on-site tasks.
