Job Description

Key Responsibilities:

  • Financial Management:
    Maintain and manage the gallery’s financial records, including accounts payable and receivable, general ledger, and financial statements.
    Prepare monthly, quarterly, and annual financial reports.
    Reconcile bank statements and monitor cash flow to ensure the gallery’s financial health.
  •  Budgeting & Forecasting:
    Assist in the preparation of annual budgets and financial forecasts.
    Monitor and analyze budget variances, providing insights and recommendations for improvement.
  • Tax Compliance:
    Prepare and file tax returns, ensuring compliance with local regulations.
    Manage VAT/GST returns and ensure timely payments.
  • Payroll Management:
    Process payroll for gallery staff, ensuring accuracy and compliance with relevant laws and regulations.
    Maintain payroll records and handle related inquiries from staff.
  • Inventory & Cost Management:
    Maintain accurate records of gallery inventory, including artworks, framing, and other materials.
    Monitor and manage costs associated with inventory, supplies, and services.
  • Financial Audit:
    Coordinate with external auditors for annual audits, providing all necessary documentation and information.
    Implement audit recommendations and ensure ongoing compliance with best practices.
  • Accounts Receivable & Payable:
    Manage invoicing, collections, and payments for sales of artwork and other gallery services.
    Ensure timely payment of gallery expenses and manage relationships with vendors and suppliers.
  • Financial Analysis:
    Perform financial analysis to support decision-making, including profitability analysis of exhibitions, events, and gallery services.
    Provide insights and recommendations to gallery management based on financial performance.
  • System & Process Improvement:
    Continuously review and improve accounting processes and systems to enhance efficiency and accuracy.
    Implement new accounting software or systems as required.
  • Compliance & Risk Management:
    Ensure compliance with all financial regulations and internal policies.
    Identify and mitigate financial risks to the gallery.
  • Administrative Support:
    Provide administrative support to the gallery’s finance team, including filing, record-keeping, and document management.
    Assist with other finance-related tasks as required.

 

Qualifications:

Bachelor’s degree in Accounting, Finance, or a related field.
Professional accounting qualification (e.g., ERP, CPA, ACCA) preferred.
Minimum of [3] years of accounting experience, preferably in the art or gallery industry.
Proficiency in accounting software (e.g., QuickBooks, Xero).
Strong understanding of financial regulations and tax laws.

 

Strong communication skills in both Chinese and English.
