Role Purpose
The Project Executive supports the planning and execution of events, activations, and KOL or influencer campaigns. This role focuses on strong coordination, attention to detail, and reliable delivery across multiple stakeholders, including internal teams, vendors, and influencers.
At the senior level, the role includes greater ownership over workstreams, improved judgement in issue resolution, and the ability to support smoother end-to-end project delivery with minimal supervision.
Key Responsibilities
Project and Campaign Coordination
- Support the execution of events, activations, and KOL campaigns from brief through post-campaign wrap up.
- Manage assigned tasks, timelines, and workstreams using project plans, checklists, and trackers.
- Assist in developing run-downs, production schedules, and task lists.
- Track progress closely and flag risks, delays, or missing information early.
Vendor and Influencer Coordination
- Liaise with vendors, suppliers, and influencers on logistics, timelines, and deliverables.
- Support influencer administration including profiles, deliverables tracking, content submissions, and disclosures.
- Ensure all deliverables comply with agreed requirements, guidelines, and timelines.
On-site and Operational Support
- Support event setup, registration, live coordination, and teardown when required.
- Own assigned on-site responsibilities in line with run-downs and operational plans.
- Assist in resolving on-site issues promptly and escalate where necessary.
Reporting and Documentation
- Collect relevant data such as attendance, engagement, and deliverable completion.
- Support post-event or post-campaign reporting using provided templates.
- Maintain accurate and organised project documentation, trackers, and folders.
Communication and Collaboration
- Communicate clearly and professionally with internal teams, clients, vendors, and influencers.
- Provide timely status updates, follow ups, and confirmations.
- Work closely with project managers, account teams, content, creative, and media teams to support smooth delivery.

Key Requirements
Must-Have
- Minimum 1–2 years of experience in events, activations, influencer marketing, or project coordination.
- Strong organisational and time management skills with attention to detail.
- Clear written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Comfortable working with internal teams, vendors, and external partners.
- Prepared to support on-site events and activations, including working on weekends when required, with appropriate planning and notice.
Senior Level Expectations (Where Applicable)
- Ability to manage assigned workstreams with minimal supervision.
- Stronger judgement in anticipating risks and resolving operational issues.
- Confidence in coordinating vendors and influencers independently within assigned scope.
- Ability to support and guide junior team members when required.

- Owning overall event, activation, or influencer strategy independently.
- Acting as the primary client lead for commercial discussions or escalations.
- Managing full project budgets or contract negotiations independently.
- Leading large-scale or multi-market events without senior support.
- Being responsible for business development or pitching activities.
- This role is designed to focus on execution excellence, coordination, and dependable delivery, with clear guidance and support from senior team members.
