The Project & Executive Assistant serves as the vital “central hub” and Brand Gatekeeper. This hybrid role combines the professional polish of a “Suits” role with the rigorous execution of a project lead. You are responsible for protecting the brand’s visual and verbal integrity, ensuring a “zero-fail” content pipeline, and providing the data-driven reporting necessary to keep the account roadmap on track.

Key Responsibilities:
1. Visual & Verbal Brand Gatekeeping

  • Visual Tone Mastery: Develop a deep understanding of the client’s visual identity. You will audit all creative assets (images, videos, graphics) to ensure they align with brand guidelines—checking for correct color usage, typography, logo placement, and overall “vibe” before deployment.
  • Verbal Tone Alignment: Act as the final filter for all copy. You must ensure that every caption, email, and community response sounds like the brand, maintaining a consistent persona across all touchpoints.
  • The “Final Eyes”: Perform a rigorous final check on all content to catch aesthetic inconsistencies or technical errors that others might miss.

2. “Zero-Fail” Content & Roadmap Management

  • Accountability for Deployment: You are the fail-safe. You will manage the scheduling and “traffic” of all content, ensuring no client post is ever left behind or missed due to technical or human error.
  • Roadmap Oversight: Maintain the project roadmap, ensuring that day-to-day execution stays aligned with long-term client goals and campaign milestones.
  • Traffic & Link Hygiene: Proactively manage bio links, SEO tags, and platform updates, ensuring the “digital storefront” of the client is always current and functional.

3. Account Management & Support (The “Suits” Role)

  • Client Liaison: Support the senior team in client communications, providing timely updates and managing routine inquiries with the poise and professionalism of an account executive.
  • Strategic Briefing: Help translate client feedback into clear instructions for the creative team, ensuring the visual and strategic “intent” is preserved during the execution phase.
  • Issue Escalation: Identify potential brand risks or negative community sentiment early, escalating them to the appropriate partners with a clear summary and suggested action.

4. Reporting & Analytical Support

  • Data Capture: Systematically gather performance metrics from all platforms (Facebook, Instagram, LinkedIn, etc.) to fuel weekly and monthly reports.
  • Reporting Support: Assist in synthesizing raw data into “client-ready” reports that highlight wins, flag challenges, and provide evidence-based recommendations for the next phase of the roadmap.

Key Requirements:
Must-Have

  • 2–3 years of experience in an agency setting (Account Management, Social Media, or Project Coordination).
  • Strong Aesthetic Sense: An ability to “see” when a visual is off-brand (e.g., wrong filter, crowded layout, or incorrect font).
  • The “Suit” Mindset: Exceptional professional integrity and the ability to remain calm and organized in a fast-paced digital environment.
  • Process-Oriented: A natural habit of using checklists and trackers to ensure 100% accuracy.
  • Remote Discipline: High level of autonomy and responsiveness in a 100% remote workflow.
