Art Outreach is a non-profit organisation supporting the development of artists and building access to the visual arts in Singapore. Through exhibitions, public programmes, and advisory projects, we work across sectors to connect artists, communities, and audiences.   We operate with a small, hands-on team and manage multiple projects at any one time, ranging from exhibitions and public programmes to partnerships and consultancy work.

Job Description

About the Role
We are looking for a Projects & Operations Associate to support the day-to-day running of our projects and operations.

You will work closely with the General Manager and team to keep things organised and moving. This includes coordinating timelines, managing documentation, and following through on the many small but important tasks that sit behind every project.
This role is best suited for someone who is organised, steady, and comfortable handling detailed and sometimes repetitive work.

Scope of Work

  • Provide day-to-day support across multiple projects, ensuring tasks and timelines are tracked and followed through
  • Coordinate meetings and communications with team members, partners, and clients (scheduling, minutes, follow-ups)
  • Prepare and format decks, reports, and documents with a high level of accuracy and clarity
  • Maintain project trackers, including timelines, budgets, and deliverables
  • Support grant reporting and submissions, including compiling and formatting documentation
  • Assist with audit preparation by organising receipts and records and liaising with finance
  • Liaise with vendors and partners on logistics and coordination matters
  • Support on-ground execution of programmes and events when required
  • Conduct research and compile references for proposals and project development
  • Support general administrative and office operations

 

Requirements

  • 1 to 3 years of experience in administration, operations, or project coordination
  • Organised and detail-oriented
  • Able to manage multiple timelines and follow through on tasks
  • Comfortable using Google Docs, Sheets, and Slides
  • Clear and professional in communication
  • Able to work independently while supporting a small team
  • Applicants should be Singapore Citizens or Permanent Residents
